Office Administrator (50%FTE)

Location: Nairobi, Kenya

Provide administrative and general housekeeping support to the GS Nairobi office and provide cover for Logistics Assistant when he/she is on leave. Maintain an up-to-date contact list for GS Nairobi Hub staff. Deal with basic GS queries and referrals. Maintain files for all administration in and organised manner, including Purchase Orders, courier waybills etc. and maintain the office store and ensure proper supply of stationery stock, office supplies for office use.

When required, assist in the procurement of office equipment for other AAI office and facilitate the shipment, manage quotes and service provider relationships and ensure that meetings rooms are set up / prepared for functions and meetings when required. Provide logistics support to workshops and office meetings by assisting with catering arrangements and other requirements such as arranging tables & chairs for workshops etc.

Collaborate with the cleaners to ensure clearing up after office functions / meetings, capture local invoices and manage supplier’s accounts. Compile relevant supporting documents relating to the processing and payment of supplier invoices. Collect carbon accounting data for the GS Nairobi Office. Operate as the GS Nairobi Office Green Champion and create awareness around sustainability. Ensure green initiatives are being developed and implemented in the Hub.

Experience in implementing and maintaining office systems and procedures; excellent organising and planning skills, be able to use own initiative and exceptional customer service skills, including interpersonal skills and communication skills is essential.You must have a Tertiary level qualification, adequate Literacy and Numeracy Skills in finance and must be proficient in English.
